Digital readiness for NGOs

Get donor-ready and claim the software you already qualify for.

Many CBOs, NGOs and trusts still run on personal Gmail accounts and leave free and discounted software unclaimed. We set up professional email, handle nonprofit verification and train your team — so you look credible to donors and spend less on tools.

The hidden problem

Are your emails eating up your website's storage?

When email and your website share the same hosting, a full inbox can take the whole site down.

Every message and attachment uses your hosting plan's space. Once it fills up, emails start bouncing and your website can slow down or go offline — usually at the worst possible moment.

  • Your host keeps sending "disk quota" or "storage almost full" warnings.
  • Donors or partners say their emails to you are bouncing back.
  • Your website loads slowly, shows errors or goes offline without warning.

What we do

Everything to get your organisation set up properly

Choose one service or combine them. Every organisation keeps full control of its own accounts — tell us your size and needs and we'll send a tailored quote.

Tech grant verification & onboarding

  • Google Workspace: free professional email, Drive and Meet for eligible organisations.
  • Microsoft 365: free Business Basic for up to 300 users, plus discounted Business Premium for desktop Office.
  • AI tools: nonprofit pricing on leading AI for reports, proposals and M&E.

Custom domain & email setup

  • Domain registration: a .org or .org.zw address in your organisation's name.
  • Professional email: accounts like info@yourngo.org for each staff member.
  • Email security: SPF, DKIM and DMARC setup that donors expect and that keeps mail out of spam.

Storage cleanup & migration

  • Find what's using space: see which mailboxes and attachments are filling your hosting.
  • Clean up safely: with your approval, archive old mail and set limits so it doesn't fill again.
  • Move email off hosting: migrate every mailbox to Google Workspace (100 TB pooled) or Microsoft 365 (50 GB + 1 TB each). Addresses stay the same.

Archiving & backup

  • Archive old mail and files: moved to Drive or OneDrive, still searchable when you need them.
  • Back up your website: regular backups so your site can be restored if something goes wrong.
  • Keep donor records: retention settings so grant correspondence is kept as long as you need.

Training & handover

  • Full control stays with you: admin access handed to your board or director, not kept by us.
  • Staff onboarding: one-on-one training on using Drive or Teams securely.
  • AI for M&E: practical training for donor reports and survey data, with safeguards for beneficiary data.

Free eligibility check

  • No cost, no obligation: we review your registration and current setup first.
  • Straight answer: we tell you exactly which grants and discounts you qualify for.
  • Clear quote: you see the cost before any paid work begins.
How it works

Four steps, and the first one is free

1

Free consultation

We check your registration and storage, and tell you which grants and discounts you qualify for.

2

Verification

We prepare your documents and complete the nonprofit verification process with you.

3

Setup

We activate your accounts, set up or move your email, clean up storage and add your team.

4

Handover & training

You receive full admin access, and your staff learn to use the tools.

How this supports the platform

Nonprofit verification is free, and many nonprofit email and storage plans are free or discounted for eligible organisations. We charge a fee only for the setup, cleanup, migration and training work — and that income goes back into running ZIMNGOs as an open, ad-free platform for the sector. Software is billed directly to your organisation by each provider, and final eligibility is decided by the provider. We'll always quote you before any paid work begins.

Email & productivity: Google Workspace (free) and Microsoft 365 (Business Basic free for up to 300 users; Discounted Business Premium).
Cloud & AI: Microsoft Azure, Claude and ChatGPT (OpenAI).
Design & documents: Canva (free), Adobe Express (free), Adobe Acrobat Pro, Docusign.

Finance, HR & security: Sage, Gusto, Okta, NordLayer, Twilio.

The full catalogue runs to dozens of products and changes over time. During the consultation we'll match the right ones to your organisation and confirm what you qualify for.

Which organisations qualify?

Most registered nonprofits do, including PVOs, trusts and non-profit companies in Zimbabwe. We confirm your eligibility during the free consultation.

What does it cost?

It depends on your organisation's size and which services you need, so we quote each organisation individually. The consultation and eligibility check are free, and we'll give you a clear quote before any paid work starts.

Do you guarantee approval?

No. Each software provider makes the final decision. We make sure your application is complete and correct, which gives you the best chance of approval.

Will we lose any old emails?

We back up every mailbox before we start and migrate your past emails and folders to the new system. Nothing is deleted without your approval.

Who owns the accounts after setup?

Your organisation does. We hand over full administrator access to your team when the work is done.

How do we pay?

We accept EcoCash, bank transfer and card. You'll receive a clear quote and invoice upfront, in US dollars.
